8. Audio and video conferencing

"For communication with our customers, we use online conference tools, among other things. If you communicate with us via video or audio conference over the internet, your personal data will be collected and processed by us and by the provider of the respective conference tool.

"The conference tools are used to communicate with prospective or existing contractual partners or to offer certain services to our customers (Art. 6 para. 1 lit. b GDPR). In addition, the use of the tools serves to generally simplify and speed up communication with us (Art. 6 para. 1 lit. f GDPR).

Microsoft Teams

"We use Microsoft Teams. The provider is Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland.

9. Own services – handling applicant data

"We offer you the opportunity to apply for a position with us (e.g. by email, by post, or via our online application form). Below, we inform you about the scope, purpose, and use of your personal data collected as part of the application process. We assure you that the collection, processing, and use of your data is carried out in accordance with applicable data protection law and all other statutory provisions, and that your data will be treated with strict confidentiality.

Scope and purpose of data collection

"If you send us an application, we process the personal data associated with it (e.g. contact and communication data, application documents, notes from interviews, etc.) insofar as this is necessary to decide whether to establish an employment relationship. The legal basis is Section 26 BDSG (initiation of an employment relationship), Art. 6 para. 1 lit. b GDPR, and - if you have given consent - Art. 6 para. 1 lit. a GDPR. Consent can be withdrawn at any time.

"If the application is successful, the data you submitted will be stored in our data processing systems for the purpose of carrying out the employment relationship on the basis of Section 26 BDSG and Art. 6 para. 1 lit. b GDPR.

Retention period of the data

"If we are unable to make you a job offer, you decline a job offer, or you withdraw your application, we reserve the right to retain the data you submitted on the basis of our legitimate interests (Art. 6 para. 1 lit. f GDPR) for up to 6 months after the end of the application process. After that, the data will be deleted and the physical application documents destroyed.

"Longer storage may occur if you have given corresponding consent (Art. 6 para. 1 lit. a GDPR) or if statutory retention obligations prevent deletion.

Inclusion in the applicant pool

"If we are unable to make you a job offer, we may be able to include you in our applicant pool. If included, all documents and details from the application will be transferred to the applicant pool so that we can contact you in the event of suitable vacancies.

"Inclusion in the applicant pool takes place solely on the basis of your express consent (Art. 6 para. 1 lit. a GDPR). Consent can be withdrawn at any time. The data from the applicant pool will be irrevocably deleted no later than two years after consent is granted.
